Race Director Resource Information

Based on our vast experience as a race timing company, we have provided a variety of instructions and useful information to help insure that your race will be successful.  Timing the race is easy, it’s the data management that is the most important element of a successfully timed event.  We have provided the following information to help you.

Race Event Setup Information

The form is used for gathering important Event and Race Director (RD) contact information.  The Tortoise & Hare staff use this information to create your race landing page on our website and for programming reporting criteria in our timing software.  Every Race Director will be asked to complete this form once a contract has been signed.

Post these instructions at the packet pickup and registration tables on Race Day.

RD Mail In Registration Template

Provided as a tool for the Race Director to enter mail-in or manual registrations prior to race day.

Tortoise & Hare will only use the column data highlighted in yellow; however, the other information may be useful to the race director.

For best results, have a volunteer away from the walk up registration table entering data from completed forms.  Bib numbers must be assigned and written on the completed registration forms for entry.

Race Day Change Form

Use this form on race day to record changes to previously registered participants.  Provide this information to the timing techs frequently during the check in process so the changes can be processed before the race begins.
